    ERP for chemical distributors

    Today

A customer needs material dispatched today, and confirming that the lot is released, the SDS is current and the packaging meets their market takes three phone calls before the order can be picked.

Generic distribution ERPs manage stock and orders as quantities and locations. They have no concept of substance, classification or document currency, so dispatch depends on someone remembering to check three other systems.

    With Worldover

Worldover ERP connects orders, tank and drum stock, blend and repack lots, quality release and the safety data sheet and label a customer requires to the same substance record.

Orders are promised and picked against stock that's actually sellable, and the correct documents attach to the shipment automatically.

    The problem

Why generic ERP failschemicals distributor teams.

Stock is a quantity, not a status

A drum sitting in the warehouse system as available may be on quality hold, awaiting retest, or covered by an SDS that has since been superseded.

    Repacking breaks the paper trail

Splitting a tanker into drums or blending two lots into one usually happens off-system, so the resulting stock loses its link back to source lots.

Documents are attached to the order, not the lot

The safety data sheet sent with a shipment is whatever was to hand, not necessarily the version that matches the lot actually picked.

    A working day

    A same-day dispatch request

    1. A customer places an order for a solvent that's held in bulk and repacked into drums to order.

    2. Today: the warehouse confirms tank level, someone checks the quality file for release, and regulatory is asked whether the SDS is current for that customer's country.

    3. In Worldover: the order shows the tank lot, its release status, and the current SDS and label for the destination market in one view.

    4. Repacking into drums is recorded against the source lot, so the new drums inherit its identity and quality status.

    5. Dispatch is blocked automatically if the lot is on hold or the document for that market is out of date, rather than caught after the vehicle has left.

    How it runs

    How ERP worksinside Worldover.

    01

    Stock carries substance identity

Every tank, drum and repacked unit is linked to the substance and source lot it came from, not just a stock code.

    02

    Orders check live status

Promising and picking use current release status, document currency and customer-specific requirements, not a static stock quantity.

    03

Repacking and blending are recorded events

Splitting, blending or relabelling stock creates a traceable link from new stock back to its origin lots.

    04

    Dispatch generates its own paperwork

The delivery note, certificate and safety data sheet are produced from the lot and destination actually being shipped.

    The difference

Why the substance recordmakes the difference.

A distributor's stock is only as trustworthy as the substance record behind it. Holding identity, classification and document status on the lot, not the stock code, is what lets an order be promised and picked without a manual check across three systems.

What teams actually askonce the record is in one place.

    • Which lots of this product are released and available to promise today?
    • Show the source lots behind this batch of repacked drums.
    • Which open orders are waiting on a customer's specific packaging or labelling requirement?

Willow doesn't replace expert judgment. It removes the searching, re-keying and chasing between the systems that hold your answers.
