    The problem with specs in documents

    A spec in a PDF can't tell you which formulas use the material, which suppliers are approved against it, or which customer agreements quote it. So a tightened limit is often discovered at goods-in, or by a customer.

    A worked example: a customer tightens a limit

    A cosmetics brand tells its ingredient supplier that the heavy metals limit for an emollient is tightening from 10 ppm to 5 ppm. The technical manager opens the customer specification, updates the limit and sees immediately that the last six batches all tested below 5 ppm, but one raw material supplier's own specification allows up to 8 ppm.

    The change is approved with an effective date. From then on, incoming lots from that supplier are checked against the new limit, and the certificate of analysis for this customer shows the tighter value. Willow drafts a note to the supplier asking whether they can commit to the new limit, for the buyer to review and send.
