Worldover, AI operating system for substance-based businesses

Part of the Worldover AI operating system

Lot traceability softwarethat answers a recall in minutes.

When a supplier flags a raw material lot, the question is simple: which batches used it, and which customers received them? Worldover answers it from one record, because receipt, production, quality and dispatch all write to the same lot genealogy.

    Quick answer

Lot traceability software records every lot from receipt to dispatch, including splits, blends and rework, so you can trace forwards (where did this lot go?) and backwards (what went into this batch?). Good traceability also supports recall management: identifying affected stock and customers, placing holds and documenting the response. Worldover does both from the same record used for production and quality.

    • Forward and backward trace across receipt, production and dispatch
    • Splits, blends, repacks and rework kept in the genealogy
    • Holds placed on affected stock in one step
    • Recall management with customer lists and documented actions
    • Useful for chemical, cosmetic and ingredient businesses alike

What to look for in lot traceability software

    • Every raw material lot recorded at receipt with supplier, certificate and expiry.
    • Consumption recorded against specific lots in production, not averaged.
    • Lot splits, merges and rework tracked so genealogy survives real factory behaviour.
    • Forward trace from a supplier lot to every batch and customer in minutes.
    • Backward trace from a customer complaint to every input and batch step.
    • Recall scoping that lists affected stock, shipments and customers with contact details.
    • Quarantine and hold status that blocks picking and dispatch automatically.
    • Mock recall reports you can run on demand for audits and customer questionnaires.

Why traceability breaks in most systems

Traceability usually lives across three places: goods-in records, batch sheets and dispatch notes. Each is accurate on its own, but joining them for a mock recall takes hours of manual work.

Repacking, blending and rework make it harder still, because the genealogy has to follow material as it changes form.

Recall management from the same record

A recall isn't only a trace. You need to hold stock, tell customers, record what was done and close it out with evidence. Worldover opens the recall from the trace result, so the affected lots and customers are already listed.

    How Worldover keeps lot genealogy

Every movement writes to the same lot record: receipt with supplier documents, consumption in production, quality status, repacks and dispatch. Willow can run a mock recall on request and draft the customer notices for approval.

A worked example: a supplier flags a lot

On a Tuesday morning, a surfactant supplier emails to say one lot may be contaminated. The purchasing lead enters the lot number and sees that it was received three weeks ago, split across two warehouses and consumed in five batches.

The forward trace shows those batches became three finished products, shipped to eleven customers in four countries, with some stock still on site. The remaining stock and finished goods are put on hold with one action, so nothing else ships.

Willow drafts the customer notification for each affected account with the lot, product and quantity they received, and quality approves before anything is sent. What used to take two days of spreadsheet work is done before lunch.

    What traceability depends on

Traceability is only as good as the lot data captured at receipt and in production. Worldover makes that capture part of the normal workflow, so operators aren't asked to fill in a separate log, but the habit still has to be built on the floor.

If you already have an ERP that holds lots, Worldover can connect to it during an initial phase, but the strongest results come when receipt, production and dispatch run on the same record.
