Turn briefs into batches without guessing.
Formulation, cost and capacity run on one record in Worldover, so every quote matches what you can actually make.
Today
The brief landed yesterday. Whoever gets a credible sample back first usually takes the work.
Turning a brief into a formulation and a lab sample is manual, and it's running alongside hundreds of other projects, each with versions, revisions, testing and sign-off in different places.
With Worldover
Worldover connects the enquiry, the customer formulation and its version history, qualified raw materials with live pricing, testing, capacity and the compliance screen in one workflow.
You can answer "can you make this, cheaper and better" before the brief goes cold.
The problem
Why the work is slow today, and what's actually causing it.
What the working day looks like now
- 01Hundreds of customer formulations, each with versions, briefs and constant revisions, tracked wherever there was room.
- 02Stability, compatibility and PET results live in spreadsheets, apart from the formulation they belong to.
- 03Ingredient lists, QQ lists, SDSs and allergen statements are written by hand and go stale immediately.
- 04Production planning runs on a spreadsheet or a whiteboard, and the schedule changes all day.
- 05Customer and GMP audits mean assembling records, certificates and sign-offs from drives and folders.
Why the current stack creates the problem
- MRP, ERP, R&D and regulatory are separate systems, so auditability and traceability barely exist between them.
- Multi-customer compliance means market blacklists plus COSMOS, Vegan and ECOCERT, all checked by hand for every customer and market.
- Generic CRMs manage the enquiry but not the technical work needed to win it, and sales can't reach formulation or cost data.
- You hold the formulations and products that are your customers' core IP, so bolting on more disconnected tools adds real risk.
The cost of doing nothing
You lose work to whoever samples faster, you can't take on more customers without hiring people who aren't available, and one failed audit can stop the site.
How Worldover changes the workflow
- Brief, formulation, versions, testing and sign-off run on one record, across every customer project at once.
- Every formulation is screened against market regulation, retailer schemes and your own blacklists, automatically.
- Ingredient lists, QQ lists, SDSs and allergen statements are generated from the live formula, not rewritten.
- Quotes are built from the live costing matrix, with qualified raw materials and current pricing behind them.
- Records, certificates and sign-offs sit against the batch, so an audit is a search rather than a fire drill.
Build your setup
These are the modules we typicallyoffer to cosmetics manufacturers.
Starting from operations. We've pre-selected the modules that function runs on. Add or remove anything below.
R&D / PLM
The product and formulation foundation. Where most customers start, because everything else reads from it.
PLM
Hundreds of customer formulations, each with versions, briefs and constant revisions, held on one record with real version history.
See it for cosmetics manufacturersR&D Lab Software
Raw materials, compositions, costs and regulatory screening in one lab record, so a brief becomes a costed, compliant sample faster than the competition.
See it for cosmetics manufacturersQuote Management
A central costing matrix with BOM pricing, so "Box A or Box B, Cap A or Cap C" gets quoted accurately instead of guessed at.
See it for cosmetics manufacturersProject Management
Hundreds of NPD projects with tasks, critical paths and approvals sitting on the same data as the formulations.
Add to your setupTesting Management
Stability, compatibility and PET results linked to the formulation, at scale, instead of a spreadsheet per project.

You get audited far more often than your customers do. Document control, training and CAPA with a full audit trail.
See it for cosmetics manufacturersCRM
An enquiry-to-signed-customer pipeline that's actually connected to sampling, formulation and quoting.

Multi-language, multi-jurisdiction SDSs generated from the live formulation for every customer product.

Supplier Portals
Suppliers load specifications and certificates directly instead of you chasing the same PDF twice.

Making and moving the product. Batch execution, planning, stock and the warehouse.
MES
Electronic batch records with dual signatures and staged QA release, replacing the paper record that delays every batch.
- Electronic batch records
- Three-level order structure
- Dual-signature control
Inventory Management
Aggregated purchase proposals so you stop buying two 5kg packs of glycerin for two jobs, plus tiered pricing history and supplier scorecards.
- Inventory overview
- Stock and non-stock items
- Request stock
Production Planning
AI-led scheduling across machines, labour, skills and material lead times, because an unoptimised whiteboard is idle capacity you're paying for.
- Production order management
- Scheduling and capacity planning
- Labour costing and allocation
Warehouse Management
Goods off the wagon, through the warehouse, into production and out, with scans instead of memory.
- Location management
- Receiving and putaway
- Pick, pack and dispatch
Demand Planning
Turn customer ordering patterns into a plan rather than a surprise.

What it connects
Locations, lots, expiry dates, picks, consumption at the line and the batch genealogy behind it.
How the workflow changes
Picking follows first-expired-first-out because the system enforces it, and a recall question is answered from the record instead of reconstructed from paperwork.
Scope note
Production scheduling and shop-floor execution are supported, but the page leads with brief-to-batch feasibility, not plant control.

Worldover supports connected regulatory workflows, product documentation, approvals and the operational data behind them. It isn't a regulatory consultancy service.
Willow finds answers, prepares work and routes decisions using the live operating record. Material actions remain governed by permissions, approvals and audit history.

See your setupCommon questions
What cosmetics manufacturer teamsask us most.
The questions that come up in nearly every conversation, answered plainly.
We run hundreds of customer formulations. Will version control actually hold up?
Version history is the point of the record. Every revision, who made it, what changed and which customer brief it answers stay attached to the formulation and to any documents generated from it.
Can we keep each customer's IP separate?
Yes. Permissions are set per person and per record, and customer portals only expose the documents and projects belonging to that customer.
Does it help with audits?
Records, certificates, batch evidence and sign-offs are held against the batch and the product, so customer and GMP audits are answered from the system rather than a folder hunt.
Can we start without replacing production systems?
Yes. Most contract manufacturers start with the product record and the lab, then extend into planning, MES and warehouse once the front end is running.
Cosmetics manufacturers: the questions people search
- What software do cosmetics manufacturers need?
- Cosmetics manufacturers typically need formulation and PLM, MRP or ERP for planning and stock, quality management for batch release, and regulatory tooling for PIFs, CPNP or SCPN notifications and claims. Running them as separate systems forces the same formula, component and batch data to be re-keyed, which is why an operating system that holds one product record underneath all four is usually cheaper and faster than integrating four tools.
- How do cosmetics manufacturers manage Product Information Files?
- The Responsible Person keeps the PIF at their declared address for ten years after the last batch is placed on the market, containing the product description, signed CPSR, manufacturing method and GMP statement, claim substantiation and animal testing data. It stays valid only if it's regenerated from the live formula, supplier and label records rather than assembled once as a set of PDFs.
- What replaces spreadsheets for cosmetics batch records?
- Electronic batch records replace spreadsheets by capturing the formula version, materials issued, in-process checks, deviations and release decision against the batch itself. The practical test is whether you can retrieve every batch made from one formula version, with its certificates of analysis, in seconds rather than reconstructing it from files.
The connected system
When your systems work together,AI can finally be useful.
Worldover is built as one operating system. The best version isn't a collection of modules; it's one record for every substance, product, batch and customer. Willow doesn't replace expert judgment. It removes the searching, re-keying and chasing that slow your teams down.
